Create an Invoice for Free in Germany 2026: Templates, Tools and What Is Actually Free

Word template, online generator or software? Which free options still work in 2026, where the traps are and why the e-invoicing mandate breaks most free solutions.

You want to write an invoice quickly without paying for it. Sounds simple — until you hit the mandatory fields under §14 of the German VAT Act, sequential numbering, GoBD-compliant archiving, and since 2025 the e-invoicing mandate too. A "free" invoice is written fast, but not every one counts with the tax office.

This guide shows you which free options still work in 2026, where the traps lie — and when a supposedly free tool ends up costing you more than expected.

One thing up front: "free" and "legally valid" are two different things. A Word template is free, but it does not number automatically, archives nothing, and since 2025 it cannot produce a B2B e-invoice.

Three ways to create an invoice for free

When you search for "create invoice free," you get roughly three types of solutions — and they differ enormously:

  • Word or Excel templates: You download a .docx or .xlsx file, fill in the recipient and line items, export as PDF. Full control, zero comfort, high error risk.
  • Online generators: You fill in a form in the browser and download a PDF. Fast, but usually without saving your data — next time you start from scratch.
  • Free invoicing software: A real tool with login, customer management, automatic numbering and archiving. Works like a paid solution — the provider earns money through other modules.

Which option fits you depends on how many invoices you write per year, whether you are a small-business owner (Kleinunternehmer), and whether your clients are B2B or B2C.

What must appear on every invoice

Whatever tool you use, these mandatory fields under §14 UStG must be on it — otherwise the invoice is formally invalid and your client can refuse the input-VAT deduction:

  • Full name and address of you and the recipient
  • Your tax number or VAT ID
  • Issue date
  • A sequential, uniquely assigned invoice number
  • Quantity and type of goods or services plus the supply date
  • Net amount, VAT rate (19% or 7%) and VAT amount
  • Total (gross) amount

Sequential numbers — the biggest trap with Word

The tax office requires gapless, unique number ranges. Anyone managing invoices in Word or Excel assigns numbers manually — and sooner or later produces duplicates or gaps. In a tax audit you must explain every gap. It is doable, but tedious and error-prone. Software assigns the next number automatically and eliminates the risk.

GoBD: keep it unalterable for 10 years

Under §147 AO you must keep invoices for 10 years — in a GoBD-compliant way, meaning unalterable and traceable at any time. A PDF in your downloads folder does not reliably meet this: who guarantees the file will still be there in five years and was not changed afterwards? This is exactly where Word templates and many online generators fail, since they do not store your invoice after download.

E-invoicing 2026: why PDF templates now fail

Since 1 January 2025, the e-invoicing mandate applies in the B2B sector in Germany. A simple PDF is no longer an e-invoice — a structured format such as XRechnung or ZUGFeRD is required. Until the end of 2026 smaller companies may still send paper and PDF invoices, but you must already be able to receive e-invoices today. When "free" gets expensive

Creating an invoice for free is entirely possible in 2026 — but only proper software automatically meets the mandatory fields, sequential numbers, GoBD archiving and the e-invoice format.
